Tasks serve the same purpose in Hyperproof as they do in program management tools—they serve as reminders to get a specific piece of work done.
In Hyperproof, tasks are mainly used to collect evidence. A good example scenario is one where a compliance manager needs to ensure that a user in their organization provides evidence to satisfy a control. Instead of using an external program management tool like Jira, the compliance manager creates a Hyperproof task attached directly to the control. They then assign the task to the user and manage the process until the evidence requirement is satisfied and the ticket is closed.
Hyperproof tasks can be created manually or based on repeating task templates. Manually entered tasks may be ones that only need to be done once or infrequently. Repeating tasks serve as templates for creating tasks that are triggered by an event or a schedule and run repeatedly.
Manually created tasks
By using tasks, you can plan, track, and delegate activities to ensure that your organization remains compliant. Tasks can be created for the following Hyperproof objects:
Access reviews
Audit requests
Controls
Evaluations
Issues
Labels
Policies
Requirements
Risks
Vendors
See Creating a task.
Repeating tasks
If you have tasks that need to be run repeatedly, you can automate their setup with Hyperproof.
Tasks can be set to repeat on a schedule or an event. For schedule-based tasks, intervals can be set to repeat daily, weekly, monthly, quarterly, or annually. Once the interval is set, you can choose to set the task to start repeating immediately or on a future date. Tasks that are event-driven can be set to repeat based on many events, such as when there is new proof, a new proof version, a change to the control’s owner, a change to the control’s health, a change to the control’s implementation, a change to the control’s testing status, and more.
Repeating tasks are available on controls, labels, and risks. You can create a repeating task from the Automations tab or create a repeating task from an existing task.
Linking Hyperproof tasks to external tasks or issues
Hyperproof supports linking tasks to Jira, Asana, and ServiceNow issues or tasks.
Jira
Hyperproof integrates with Jira Cloud and Jira Server / Jira Data Center. The integration is bi-directional, meaning it provides a two-way sync of Jira issues
and Hyperproof tasks. See Hyperproof and Jira.
Asana
Compliance Managers can create a task in Hyperproof and link it to an Asana task, and members of the organization who do not use Hyperproof can provide their proof via Asana. See Hyperproof and Asana.
ServiceNow
The ServiceNow integration lets you create and edit ServiceNow tasks directly in Hyperproof. Task assignees can complete their work in ServiceNow and the bi-directional synchronization will update your Hyperproof tasks. See Hyperproof and ServiceNow.
